Job Summary

The Herbert Wertheim College of Medicine is currently seeking to hire a Program Specialist to join our team of professionals:

Duties Include:
  • Provides administrative support for the Albert and Debbie Tano Medical Simulation Center by confirming faculty for sessions, confirming IT needs and simulation equipment, and preparing agendas, meeting notices, materials, room bookings and other relevant information and/or materials.
  • Assists with the maintenance and troubleshooting of simulation equipment and operates simulation manikins.
  • Assists in developing and updating the simulation center materials, guides, and preparation of setup boxes and supplies for each simulation.
  • Assists with maintenance and utilization of the EMS (Educational Management Solutions) system and its associated programs and hardware.
  • Supports the implementation of Objective Structured Clinical Examinations (OSCEs) and other simulation events such as tours, orientation, and simulation activities.
  • Communicates with and responds to team members, student, faculty, and customer inquiries, as needed. Screens calls and emails for the Simulation Center.
  • Assists in the recruitment, selection, and onboarding of new Simulation Technicians. Assists in training, scheduling, and tracking Simulation Technicians.
  • Prepares and submits documents for travel authorizations and assists with simulation, equipment supplies and office related purchases and scheduling and preparing meeting materials for the simulation center.
  • Organizes and maintains files, databases, and records for the Simulation Center. Updates the simulation centers calendar to reflect all simulation events and activities and assists with data entry, including tracking sessions, simulation activities
  • Maintains and tracks inventory. Restocks necessary equipment, and alerts when replacements and new purchases are needed.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Provides setup, breakdown, and moulage of simulation activities
Minimum Qualifications

High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.

Desired Qualifications

Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.) and web applications such as Zoom.
Ability to act calmly and effectively in a busy or stressful situation while remaining professional
Ability to work in a fast-paced, and at times, high-stress environment, multitasking complex projects.
Ability to work independently on self-managed tasks and reach projected goals and deadlines, as well as part of a team.
Excellent communication and interpersonal skills, with both in person, phone, and videoconference experience. Ability to provide customer service and work collaboratively with others.
Excellent organizational skills and the ability to think logically and follow directions.
