Job Summary

The Executive Assistant provides comprehensive support to the Vice Provost for Extended and Lifelong Learning and Dean of Graduate Studies. This role manages the calendar and schedules meetings for the vice provost while composing correspondence on their behalf. Executive assistant tasks involve tracking, coordinating and recordkeeping for MOUs, contracts and affiliation agreements between the University and external partners; assisting with deadline monitoring and renewal processes for partnerships; compilation of recipients for commencement awards; maintenance of the graduate faculty list; management of the processes for graduate assistantships, record keeping for Graduate Council; management of the Terrra Dotta software system, and development of agendas for KU's Council of Trustees.

Minimum Qualifications
  • Experience with budgets in SAP and Business Intelligence;
  • At least one year of experience with data management in Terra Dotta Software;
  • Experience in managing international agreements;
  • Experience in managing contracts, affiliation agreements, MOUs, and other corporate partnership agreements;
  • Experience in managing dual credit agreements;
  • Experience with PASSHE policies and procedures;
  • Able to demonstrate a high level of resourcefulness, diplomacy, integrity, and professionalism in all aspects of responsibility;
  • Strong oral and written communication skills;
  • Strong customer service skills;
  • Ability to multitask and complete tasks in a timely manner (meet deadlines);
  • Experience working with confidential information;
  • Ability to work well independently and as a team member;
  • Ability to cope with and function in stressful situations;
  • Organized, efficient, and detail-oriented;
  • Highly reliable and able to exercise initiative;
  • Able to identify problems and suggest solutions;
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams);
  • Proficiency setting up and managing Zoom meetings;
  • Experience in an academic office on a university campus;
  • Experience with culturally diverse populations;
  • Experience with web page editing;
  • Experience in planning graduate student activities (e.g., orientation).

  • Experience with Sourcepoint
  • Bachelor's degree in business
  • Experience in an administrative support position in an executive level office

The anticipated starting salary for this position is $46,020 - $55,000, commensurate with skills and experience.
