Annual Giving sustains and enhances the University’s distinctive academic programs and brings together Princetonians of all generations. This success plays a central part in Princeton’s educational mission, and is based on a strong partnership between the Annual Giving staff and alumni volunteer leaders. Each year, more than 3,000 volunteers are actively engaged in the conduct of Annual Giving. Annual Giving volunteers rely on the AG staff to take the initiative for goals, plans, strategies, organization, and ongoing management of progress.

The office of Annual Giving is looking for three Office Assistants. The successful candidates will provide high level office support for two Annual Giving Associate Directors working with undergraduate alumni classes and/or other constituencies.



Responsibilities

  • Maintain Annual Giving alumni solicitation and information through data entry into our specialized University software and provide focused reporting output to Annual Giving volunteers, staff or committees.
  • Utilizing Word and Excel to generate letters, acknowledgements and customized volunteer reports.
  • Work with our Printing and Mailing Manager and Senior Associate and Associate Directors to generate and proofread specialized class solicitation mailings; these mailings often include segmentation and detailed merge fields utilizing Word and Excel.
  • Create, edit and proofread digital communications from our email marketing software platform Salesforce/Exact Target.
  • Provide timely responses to volunteers, donors, campus partners and staff inquiries through Outlook.
  • Assist in scheduling volunteer meetings including maintaining volunteer conference call/zoom calendars.
  • Assign, code and maintain volunteer assignments in the University volunteer website Tiger Tracks.
  • Create, organize and maintain electronic /paper files.


Qualifications

  • At least 5 years administrative experience in a fast-paced high productivity environment.
  • Exceptional computer skills including word processing, spreadsheet preparation, proofreading and data management.
  • Must have prior experience with complicated mail merges and the ability to take initiative and learn database systems quickly.
  • Excellent interpersonal skills and a high degree of professionalism and initiative; accuracy, close attention to detail and discretion in dealing with highly confidential material.
  • Ability to exercise independent judgment and make decisions based on established policies and procedures in supervisor's absence.
  • Displays a proven ability to manage time and priorities in a fast-paced multi-task environment and have excellent quality-control skills with regard to written communications and reports.
  • Flexibility and willingness to undertake special projects and assignments as directed by Office Manager.
  • Ability to respond quickly to changing business needs and priorities and to handle multiple projects simultaneously.
