Duties/Responsibilities:

The UT Soil, Plant, & Pest Center Accounting Specialist is directly responsible to the Laboratory Director. This is a 40 hour per week, in person position. This position is in the front office of the Soil, Plant & Pest Center which process soil, forages, plants, and insects from around the state. Duties include:

· Answering phones, greet in person clients, assist in filling out forms and receiving payment.

· Assist in reporting, helping clients find reports, and sending reports out.

· Contact clients with sample but no payment, missing payment, or partial payment.

· Assist county extension offices in needs they may have from the lab. (i.e. getting soil boxes, finding reports, etc..).

· Assist in receiving samples, receipting, data entry into STRUT program or Excel for sample information and results, reporting samples by email and US mail.

· Enter sample and payment information into multiple laboratory reporting systems.

· Daily deposits and monthly invoices: Prepare daily cash, check, and credit card deposits. Account for petty cash. Fill out appropriate auditing forms for deposits. Report deposits to Bursar's office.

· Prepare monthly invoices for billed clients, email or mail them, keep track of payments, remaining or outstanding balances. Perform IRIS transfers for UT System clients. Verify monthly credit card deposits.

· Reconcile deposits, procurements card, and department ledgers monthly.

· Prepare audit spreadsheet during the month for end of month reporting. Verify all samples that month have a payment, are billed, or have a reason for no payment.

· Miscellaneous office tasks in support of the unit: as assigned by lab director.


Qualifications :

Minimum/Required Qualifications (include education, experience, skills & abilities, licenses & certifications):

· One year of receipting/depositing experience and one year of customer service.

· Ability to create deposits; as well as enter and track them in Microsoft Excel.

· Accounting skills to keep track of accounts paid and balancing remaining.

· Ability to multitask and maintain the office when all other staff may be at Extension events.

· Proficient in Microsoft Office (Word, Excel, Outlook).

· Must have a valid driver’s license.

· Must be reliable and punctual.

Preferred/Desired Qualifications:

· Two years of receipting/depositing experience and customer service, in a university or extension setting.
