Job Description Summary
Working under direct supervision, the Immunization Compliance Officer will be responsible for immunization compliance for the incoming and transfer students each semester. The Immunization Compliance Officer will oversee the University's Immunization Policy and ensure student compliance with the policy and applicable state laws. Additional responsibilities will include secretarial and clerical support for the clinical and administrative staff including answering telephones, scheduling appointments, processing accounts receivable, managing confidential records, retrieving and filing medical records, scanning, and data entry, appointment creation and updates in the EHR system. This is a full-time position, and the schedule includes weekdays and weekends during the academic year, as well as some holidays. This position will work an average of 40 hours per week.

Job Description Summary

Job Description
Essential Functions:
- Works with health officials on campus to meet all state immunization laws.
- Regularly monitors compliance with the student immunization programs, and generates complete, accurate reports regarding student compliance with the immunization policy and applicable state laws.
- Maintains up-to-date knowledge of legal and regulatory matters that may impact the immunization compliance program, and updates policies and procedures accordingly.
- Modifies and updates compliance rules in the electronic medical records (EHR) system (PyraMED).
- Works with the Director of Business and Operations to analyze reports and system functions to ensure compliance accuracy for students.
- Collaborates with applicable offices in the design, development, and/or refinement of the immunization compliance programs, and processes. Maintains working relationships with departments to ensure student compliance is achieved.
- Greets students and visitors to the office in a courteous and professional manner.
- Answers phones, screens and transfer calls; responds to patient questions and provides information or resources for information.
- Performs secretarial/clerical functions including routine correspondence.
- Uses electronic medical records (EHR) to access and update patient information.
- Schedules and cancels appointments for Telehealth as needed using a secure WebEx/Zoom meeting.
- Accurately enters student immunization information and new WFU health information; completes tasks in PyraMED.
- Helps manage all medical records which includes copying, faxing, printing, and scanning.
- Ensures confidentiality and privacy of medical records according to procedures and professional standards.
- Verifies and posts charges to client accounts and to departments on campus. Collects cash/check/debit payments at check out and prints receipts. Balances receivables for each day. Prepares daily deposits for the bank and delivers deposit information to Financial and Accounting Services. Reconciles all account receivable reports for the office manager.
- Maintains office supplies.
- Participates in staff projects, programs, and events.
- Ability to perform tasks and errands on campus including making deposits, picking up mail and sensitive documents. Sorts, screens and distributes mail as appropriate.
- Performs other related duties as assigned.
- High school graduate, with specialized training, plus two or more years of medical office experience, or an equivalent combination of education and experience.
- Knowledge of N.C. immunization laws and requirements.
- Ability to problem solve. Excellent analytical and interpersonal skills.
- Experience working with computer-based practice management systems – EHR.
- General knowledge of office management procedures and techniques.
- Ability to communicate effectively with patients, other clients, and Student Health Service office, clinical and administrative staff in a team environment.
- Ability to perform multiple tasks simultaneously such as greeting/registering students and answering the telephone.
- Superior customer service skills, proper telephone etiquette, and ability to keep calm and collected under pressure.
- Knowledge of medical terminology.
- Ability to follow instructions and pre-established guidelines required to perform the job.
- Ability to maintain confidentiality of University records and medical information.
- Proficiency in Microsoft Office software and the ability to learn medical office software.
- Accuracy and proficiency in typing skills; ability to operate standard office equipment.

- Associate's degree in any healthcare related field.
- Experience in processing accounts receivable.
